The Company Seeks the Services of Intern – Administrative Officer x 1

Job Purpose

The Responsibilities of this role will include but not limited to the following:

  • Assist in the monitoring and reporting the condition of buildings, grounds, and facilities.
  • Coordinate with maintenance teams for scheduled inspections and repairs.
  • Maintain property-related documentation and schedules.
  • Assist in drawing up lease agreements.
  • Assist in implementing departmental insurance strategies.
  • Help compile documentation for risk assessments and coverage analysis.
  • Support the coordination of insurance claims, records, and renewals.
  • Liaise and collaborate with insurance service providers and other stake holders under supervision.
  • Assist in developing and managing budgets for insurance premiums and claims.
  • Assist in budget planning in line with established legal services.
  • Assist in Monitoring spending of approved budget to ensure Sections operate within funding limits.
  • Participate in cost control and reduction measures by identifying opportunities for cost savings and process improvements.
  • Assist in the processing of requisitions, payment requests, and financial reports under guidance.
  • Assist in reviewing and drafting insurance policy wordings, contracts, and agreements.
  • Coordinate logistical arrangements for meetings, workshops, and departmental events.
  • Track attendance, leave schedules, and support staff performance record maintenance.
  • Supervise the administrative tasks of support staff (messengers, cleaners, drivers) as delegated.
  • Ensure the availability of office supplies and working equipment.
  • Assist in managing and administering cleaning and sanitation contracts.
  • Assist in ensuring compliance with contractual terms and conditions.
  • Assist in monitoring and reporting on contract performance.
  • Assist in maintaining accurate and up-to-date contract records and files.
  • Assist in maintaining an updated fleet register.
  • Track vehicle documents and service schedules and coordinate repairs and inspections under direction.
  • Support the process of road tax and insurance renewals for departmental vehicles.
  • Assist to manage vehicle registrations, licenses, and permits.

To be considered for this position, the candidate should meet the following minimum requirements:

  • Grade 12 School Certificate or equivalent.
  • Degree in Business Administration/ Public Administration or any related qualification.
  • Insurance qualification added advantage.

The successful candidate must be result oriented and have the ability to work with own initiative, ability to understand scope of work, paying particular attention to Company policies and Corporate objectives.
